The question every buyer eventually asks isn't "where can I find this part", it's "can I trust it once I find it." New old stock, refurbished, and used parts all carry different risk profiles, and the right choice depends less on the label and more on what's behind it. Here's how to think it through.

The three categories, honestly assessed

New old stock (NOS) - Genuinely unused parts that were manufactured under the original production run and never installed. This is the closest equivalent to buying new from the OEM. Same manufacturing quality, no wear history, but availability is entirely dependent on what's left in circulation. For a platform that's been out of production for years, NOS supply for any given component eventually runs out, which is why it's rarely a long-term sourcing strategy on its own.

Refurbished - A used part that has been removed, tested, restored to working condition, and in most cases recalibrated against original specification. Quality here varies enormously by supplier. A properly refurbished part can perform indistinguishably from new, while a poorly refurbished one is a liability regardless of how it's marketed. The deciding factor isn't the word "refurbished" itself, it's the process behind it.

Used (as-is) - A part sold without restoration or testing beyond basic functional checks, if that. Lowest cost, highest risk. Occasionally appropriate for non-critical spares or where budget genuinely outweighs risk tolerance, but not something to rely on for a component that, if it fails, causes unplanned downtime.

 

What actually determines whether a part is trustworthy

Rather than treating "refurbished" as a single category, the real question is what standard the supplier held it to. Ask about:

  • Testing before sale — was the part functionally tested under conditions representative of actual use, or just visually inspected?
  • Calibration — for anything sensitive to precision (power supplies, source assemblies, control boards), was it recalibrated to original spec, and is that documented?
  • Failure history, where known — was the part pulled from a decommissioned tool, or replaced for a known fault? A reputable supplier will tell you which.
  • Warranty terms — a supplier confident in their process will typically offer some form of warranty or return terms; one that won't is telling you something.

A part sold as "refurbished" with full testing documentation and a warranty is a fundamentally different purchase from one sold as "refurbished" with neither, even though the word on the listing is identical.

 

A simple decision framework

Rather than defaulting to whichever category feels safest by name, weigh it against the part's actual role:

Is this a critical, hard-to-replace component (e.g. control boards, source assemblies)? Prioritise supplier process over category label. A well-tested refurbished part with documentation often beats an untested "used" part sold as-is, and may be the only realistic option once NOS supply for that component has dried up.

Is this a high-wear consumable you'll replace again soon (e.g. filaments, apertures)? Cost efficiency matters more here, and the shorter service life reduces the downside of getting it slightly wrong. This is often where used or lower-cost refurbished options make the most practical sense.

Is this going into a regulated end-market process (automotive, defence, medical, power semi)? Documentation and traceability become non-negotiable, regardless of category. Your quality system will likely require it anyway. Confirm the supplier can provide it before, not after, you order.

Is downtime cost high if this part fails again shortly after installation? Weight your decision toward whichever option comes with the strongest testing and warranty terms, even at a higher price point. The cost difference between options is usually small relative to a day of unplanned fab downtime.

 

Questions worth asking any supplier before you buy

  • What testing did this part go through before being listed for sale?
  • Can you show me calibration or test documentation for this specific unit?
  • Where did this part come from, and do you know why it was removed from service?
  • What happens if it fails shortly after installation — is there a warranty?
  • Can you confirm this matches my tool's specific hardware revision, not just the model name?

If a supplier can answer all five clearly, the refurbished-vs-new-vs-used question becomes far less important than it first appears — you're really just choosing based on cost and lead time, with confidence already established.
